Privacy Policy
Golf Sim Rooms takes your privacy seriously. This policy explains what personal information we collect when you use this website, ask us about a project or become a customer, why we need it, who we share it with, how long we keep it and the rights you have.
Last updated: 20 October 2026
Golf Sim Rooms (GSR) is the trading name of Haley Projects Ltd, a company registered in England and Wales (company number 13186476). Our registered office is Suite 2, 1 Kings Road, Crowthorne, Berkshire RG45 7BF.
Haley Projects Ltd is the controller of the personal information this policy describes. That means we decide how it is used and we are responsible for looking after it. We are on the register of fee payers kept by the ICO, the UK’s data protection regulator (registration number ZB464368).
For any question about this policy or your information, contact us:
- Email: info@golfsimrooms.co.uk
- Phone: 01276 536406
- Post: Golf Sim Rooms, Basingstoke Rd, Basingstoke RG27 0AG
We collect only what we need to answer you and to deliver your project:
- When you book a consultation: your first and last name, email address and phone number, the area you are in (for example the South of England, or outside the UK), whether the room is for your home or a business and what kind of build it is, whether you would like a phone or an on-site consultation (and your postcode for an on-site one), and anything you write in your message.
- When you send an international enquiry: your first and last name, email address and phone number, your state or region, and anything you write in your message.
- When you request a brochure: your first and last name, your email address, and whether you would like our marketing emails.
- When you email, phone or message us: your contact details and what you tell us about your project, such as room sizes, budget, location and timings, and any photos or plans of your space you send us. If you message us on Instagram, TikTok or Facebook, we also see your profile name there.
- If you become a customer: the address where we are building, the details of your project, our quotes, agreements and invoices, and records of your payments.
- When you visit this website: the technical details every browser sends, such as your IP address, your browser and device type, and the pages you ask for. With your permission, cookies also tell us how you found and used the site (see Cookies below).
- Reviews: we show reviews our customers have posted publicly on Trustpilot and Google, under the name each reviewer chose there.
With each form we also record the page you sent it from, and when. If you have agreed to cookies for measuring visits, HubSpot also links the form to your earlier visits to this site.
We do not ask for sensitive information, such as details of your health. Please do not include it in a message.
Data protection law says we need a lawful basis for each use of your information. This is what we do, and the basis for each:
- Answering your enquiry, sending the brochure you asked for, arranging a consultation and preparing a quote. Basis: taking steps you have asked for before we agree a contract, and our legitimate interest in replying to people who contact us.
- Designing, building and supporting your room, aftercare included. Basis: our contract with you.
- Keeping accounts, invoices and tax records. Basis: a legal obligation.
- Sending marketing emails about our rooms, products and offers. Basis: if you ticked the box on our brochure form, your consent, which you can withdraw at any time. If you booked a consultation or sent an international enquiry, our legitimate interest in telling people who have asked us about a room about our own similar rooms and services. You can say no at any time (see Marketing emails below).
- Measuring how people use this website, and measuring and improving our advertising, with cookies. Basis: your consent, given in the cookie banner.
- Showing photos of finished rooms, and customer reviews, on our website and social media. Basis: our legitimate interest in showing our work. Unless you agree otherwise, we name no more than the town or area, and we will take a photo or review off our website if you ask.
- Keeping this website running and secure, keeping records of our work, improving our service, and dealing with any complaint or legal claim. Basis: our legitimate interests in running a safe and well-run business. We rely on these only where they do not override your own interests and rights.
We send marketing emails, such as news, offers and ideas for your room, to:
- People who ask for a brochure and tick the box to receive them. The box starts unticked, so asking for a brochure on its own does not sign you up.
- People who book a consultation or send an international enquiry, about our own rooms and services, similar to what you asked us about. If you would rather not receive them, say so in your message, or use the unsubscribe link in any of our emails.
Every marketing email has an unsubscribe link, or you can email info@golfsimrooms.co.uk at any time. We keep a note that you unsubscribed, so you are not added again by mistake.
Cookies are small files a website stores on your device. We use them only with your permission, apart from the few the site needs to work, such as the one that remembers the choice you make.
On your first visit, a banner asks whether you are happy for us to use cookies for:
- Measuring visits: Google Analytics and HubSpot’s analytics show us how people find and use the site. HubSpot’s analytics also records the details you send in our forms, alongside your visits.
- Ads: Google Ads and the Meta pixel show us whether our adverts on Google, Facebook and Instagram lead to enquiries, and let us show our adverts to people who have visited. If you fill in one of our forms, the Meta pixel also sends Meta a scrambled copy of the contact details you type, such as your email address, name and phone number, so Meta can tell whether you saw one of our adverts. Google Ads does the same with the email address you type.
Nothing in either group runs until you agree, and you can change your mind at any time with the Cookie settings button at the foot of every page. Our cookie policy lists each cookie and how long it lasts.
We share your information only with the companies and people below, and only what they need. We never sell your personal information.
- HubSpot runs our customer records, website forms and emails. Your enquiry or brochure request goes straight into our HubSpot account, which is hosted in HubSpot’s EU data centre in Germany. Our consultation and international enquiry forms are provided by HubSpot, so opening either page loads the form from HubSpot’s servers, which see your IP address and count the form as viewed.
- Google provides Google Tag Manager, Google Analytics and Google Ads, which run only if you agree to cookies.
- Meta (Facebook and Instagram) receives information from the Meta pixel, only if you agree to ad cookies.
- Vercel hosts this website, so it handles the technical details your browser sends to load each page.
- Microsoft and Zendesk run our email (Microsoft 365) and our customer support system (Zendesk), so the emails and support messages you send us are stored with them.
- Our website agency, which builds and looks after this website, its forms and its tracking, and may see your details when that work needs it.
- Our project partners, such as the builders, electricians and room or cabin makers who help deliver your project, receive the details they need to do their part, such as your name, address and phone number.
- Professional advisers, such as our accountants, lawyers and insurers, when they need it.
- Authorities, such as HMRC or the police, when the law requires it.
Google and Meta also use some of what their tags collect for their own purposes, such as measuring and improving their advertising. For that they are controllers in their own right, and their own privacy policies apply.
Some pages also load content from other companies’ servers, so your browser sends them your IP address to fetch it. No cookies are involved:
- Trackman: the Trackman authorised dealer badge at the foot of every page comes from the image service Trackman uses, Storyblok.
Some of these companies are based in the United States or handle data there. When your information leaves the UK, it is protected by a safeguard that UK law recognises:
- HubSpot: our account is hosted in the EU, which UK law recognises as protecting personal information properly. HubSpot, Inc. in the US is certified under the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge), and also uses the UK Addendum to the EU standard contractual clauses.
- Google: certified under the UK Extension to the EU-US Data Privacy Framework, with standard contractual clauses where those are needed.
- Meta: the ICO’s UK Addendum to the EU standard contractual clauses, in Meta’s UK Data Transfer Addendum.
- Vercel: certified under the UK Extension to the EU-US Data Privacy Framework.
- Microsoft: certified under the UK Extension to the EU-US Data Privacy Framework.
- Zendesk: certified under the UK Extension to the EU-US Data Privacy Framework, and also uses the UK Addendum to the EU standard contractual clauses.
Contact us if you would like a copy of these safeguards.
- Enquiries and brochure requests that do not go ahead: up to 2 years after we were last in touch.
- Customers: 6 years after your project is finished, for our tax records and in case of a legal claim.
- Marketing emails: until you unsubscribe. After that we keep only your email address and a note that you unsubscribed, so we do not email you again.
- Cookies: as listed in our cookie policy.
- Website hosting records: no more than 30 days.
When we no longer need information, we delete it or make it anonymous.
You have the right to:
- ask for a copy of the information we hold about you
- have anything wrong corrected, or anything missing added
- have your information deleted, unless we must keep it, for example for tax records
- ask us to limit how we use it while a concern is looked into
- object to our using it where we rely on our legitimate interests
- stop marketing at any time: if you object to direct marketing, we will always stop
- receive the information you gave us in a format you can pass to another company
- withdraw your consent at any time where we rely on it, for marketing emails or cookies, without affecting anything we did before
We do not make any decision about you by computer alone that has a legal or similarly important effect on you.
To use any of these rights, email info@golfsimrooms.co.uk or call 01276 536406. We will reply within one month, and there is normally no charge. We may need to check who you are first.
If you are unhappy with how we have used your information, please tell us first, and we will try to put it right. Email info@golfsimrooms.co.uk with the subject “Privacy complaint”, or call 01276 536406. We will confirm we have your complaint within 30 days, keep you updated while we look into it, and tell you the outcome.
You also have the right to complain to the ICO, the UK’s data protection regulator (formally the Information Commission since 30 September 2026):
- Online: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
- Post: Information Commission’s Office, 4th Floor, No.3 Circle Square, 5 Hawkshaw Street, Manchester M1 7BL
No, but to reply we need the details each form asks for: your name, how to contact you and, for a consultation, your area and the kind of consultation you would like. Those form fields are required. If you become a customer, we need the details in our agreement to build your room. Marketing emails and cookies are always your choice, and saying no does not change our service.
Our website and services are for adults. We do not knowingly collect information from anyone under 18.
In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
Our website contains links to other websites. This policy applies only to our website, so we recommend you check the privacy policy of any other site you visit or are directed to.
We will update this policy whenever the way we use personal information changes. The date at the top of the page shows when it last changed.
